ChatGPT prompt to write a complaint letter to a landlord
Five copy-paste prompts to put the facts in order, write a clear complaint letter to your landlord and follow up if nothing gets fixed.
A broken heater, a leak that keeps coming back, mold, pests, noise or a repair that never happened: most landlord problems move faster when the request is in writing, specific and calm. The hard part is writing that letter when you are tired and frustrated. AI is good at turning a long, angry explanation into a short letter with the facts, the dates and one clear request.
These prompts take you from scattered notes to a dated timeline, a first letter, a tone check and a follow-up. Keep your full address, lease number and other people’s names out of the chat. Use placeholders and fill them in yourself before you send anything.
Tenant rules differ a lot by city, state and country, and AI can get them wrong. Use these prompts to get organized, then confirm your rights with your local housing authority, a tenant union or legal aid before you do anything serious, such as withholding rent.
The prompts
Replace every [bracket] with your real details, then paste into ChatGPT, Claude, Gemini or Grok.
Prompt 1
Timeline builder
I am a tenant with a problem I need to raise with my landlord. Here is everything that happened, in no particular order: [paste notes, texts, emails and dates]. Turn this into a clean, dated timeline with one line per event. Then list the evidence I should gather (photos, texts, receipts, emails) and point out any gaps in the dates I should fill in before I write to my landlord.
Messy notes are fine. The goal is to get the facts in order before you write the letter.
Prompt 2
Complaint letter writer
Write a polite, firm complaint letter from a tenant to [landlord or property manager] about [problem, e.g. no hot water since March 3]. Key facts: [timeline or bullets]. Earlier requests: [dates and how, e.g. text on March 4, phone call on March 8]. What I want: [e.g. a licensed plumber to fix it] by [date]. Mention that I am keeping a written record. Under 250 words, no threats, no legal claims, and leave placeholders for my name, unit number and the date.
Send it in a way that leaves a record: email, the tenant portal, or a printed letter you keep a copy of.
Prompt 3
Tone check
Here is a draft letter to my landlord: [paste draft]. Rewrite it so it sounds calm and professional, not angry, while keeping every fact, date and deadline. Remove anything that could read as a threat or an insult. Then show me the 3 biggest changes you made and why.
Useful if you already wrote something at midnight and are not sure how it reads.
Prompt 4
Options check
I rent in [city, state or country]. My landlord has not fixed [problem] after [number] written requests over [length of time]. In plain English, what general options do tenants usually have in a situation like this? What should I avoid doing until I confirm the local rules? List the official agencies, tenant unions or legal aid groups I should contact to confirm. Tell me clearly which parts you are unsure about.
Treat the answer as a starting list to check, not as legal advice.
Prompt 5
Follow-up letter
I sent my landlord a complaint about [problem] on [date] and [got no reply / got this reply: paste it]. Write a short follow-up that refers to my first letter, restates the problem and how it affects me, and sets a new, reasonable deadline of [date]. Keep it calm and factual. Then suggest 2 next steps I could take if there is still no response.
Each follow-up adds to your paper trail, which matters if you need outside help later.
Worked example
Situation: water drips from the bathroom ceiling every time the upstairs neighbor showers. You texted the landlord about it twice over three weeks and nobody has come to look.
What you paste: both texts and your rough notes into Prompt 1. The AI returns a short dated timeline and reminds you to photograph the stain with the date visible.
Next: Prompt 2 produces a short letter that lists the two earlier texts, describes the leak and asks for a repair visit within a set number of days. You email it, save the sent copy and attach the photos. When the deadline passes with no reply, Prompt 5 writes the follow-up and Prompt 4 points you to local tenant help to call.
FAQ
Should I send a complaint letter to my landlord by email or by post?
Use whatever method your lease names for notices, and keep a copy either way. Email or a tenant portal gives you a timestamp. Some places expect a mailed letter for formal notices, so check your lease and local rules.
Can ChatGPT tell me if I am allowed to withhold rent?
It can explain general ideas, but the rules vary widely and getting this wrong can put your tenancy at risk. Confirm with your local housing authority, a tenant union or legal aid before you withhold any rent.
Should I include photos with the letter?
Yes. Mention them in the letter, for example "photos attached, taken on March 3 and March 10", and attach them. Do not paste photos that show other people or personal documents into an AI chat.
